The challenge

As the largest virtual optometric conference, CEwire needed a robust, reliable streaming platform capable of handling thousands of attendees, multiple simultaneous lectures, and complex accreditation requirements for COPE-approved continued education (CE) credits.

The solution

We deployed our in-house streaming platform, handling content synchronization, speaker onboarding, and developing new features specifically for ARBO/COPE compliance, including time-tracked quizzes, achievement awards, and automatic transcript generation.

The results

The multi-day event ran successfully with minimal issues, distributing over 15,000 credit hours and receiving overwhelmingly positive feedback from thousands of attendees and speakers for the platform's smoothness and ease of use.

Project background and preparation

Purpose

Largest Virtual Optometric Event

CEwire is an annual conference for eye care industry leaders to offer courses to other professionals for COPE-approved credit hours and continued education in their field. Since it began in 2015, 16,000 optometry doctors have participated in the annual event, making CEwire the largest virtual optometric conference. As a long-standing partner to ODwire, we were approached to have our in-house streaming platform power the CEwire 2022 multi-day event.

Event Preparation

Onboarding Speakers to Syncing Content

With much of the conference pre-planned by the CEwire committee, it was our team's focus to import all event details and media, and onboard their event speakers into our platform. Ahead of the conference, our product development team and event managers coordinated the following:

  • Implemented accredited quiz questions and answers
  • Transferred the full course schedule and details
  • Weekly meetings with the client to ensure progress
  • Training of event speakers on use of the platform
  • Performed multiple dry runs with the client and test groups prior

Feature Development

For Quizzes and Transcripts

As the event was for education purposes first and foremost, it was critical for the platform to issue official transcripts after each completed course and associated quiz for COPE-approved credits. To meet the standards of ARBO, the accrediting organization, we developed several key features:

  • Quizzes to receive credit
  • Achievement awards for passed courses
  • Phrasing system to uniquely brand the platform as an educational space
  • Accurate time tracking to ensure course credit
  • Automatic transcript and PDF generation for passed courses

Dedicated support for multi-day conference

Support Team On-Hand

For Conference Success

As a dedicated resource to the client leading up to the event, we continued our community event support by having our team on-hand and monitoring all lectures to answer questions and help troubleshoot for a seamless attendee experience. During the multi-day event, we helped in: being on call during the full event, active development for immediate platform fixes, and in-chat support for attendees throughout all courses.

Live Development

To strengthen the platform

CEwire 2022 conference was scheduled to happen for two weekends in March with a follow-up event in May. During the first weekend, we provided live development support to ensure that the event ran smoothly. With minor issues resolved from the first event, the next follow-up weekend in March ran even better, ending without any issues and an overwhelmingly positive response from attendees.

Post-event response and metrics

The Numbers

The Opening Weekend

As the first weekend of CEwire came to a close and the last transcripts awarded, our team and the client assessed the overall event. With over 2,500 attendees the first weekend and 1,800 the second weekend together watching, commenting, and completing courses, it was our largest and most interactive event to date. Live events to a large audience can come with surprises but overall the conference was a successful one with many participants sharing positive feedback.
